Privacy Policy

Last updated: 15 October 2026

ActIt is a coaching platform: coaches write weekly training plans, athletes follow them on the ActIt app and sync their workouts from their watch or phone. This policy explains what personal data we handle when you use the ActIt app, the coach dashboard at coach.actit.io and this website, why we handle it, who we share it with and the choices you have.

1. Who we are

ActIt is provided by Athletic Intelligence S.A. (Α.Ε.) (“Athletic Intelligence”, “we”, “us”), Daskaroli 67, Glyfada 166 75, Greece, registered in the Greek General Commercial Registry (G.E.MI.) under no. 193596607000, VAT no. 803275629. We are the controller of the personal data described in this policy. You can reach us about privacy at support@actit.io.

2. What we collect

Account information

Your name, email address, phone number (if you add one), profile photo, and how you sign in (email and password, Google or Apple). If you are an athlete invited by a coach, we also record that invitation and which coach or organization you belong to.

Profile and training information

Details you give us to personalize your training, such as sex, training paces, heart-rate settings, goals and availability; the training plans your coach writes for you; and the effort ratings (RPE) you give your workouts.

Health and fitness data

When you connect a provider, we receive your workouts and related measurements: date, duration, distance, route (GPS), pace, heart rate, cadence, power, elevation, laps and, where available, wellness data such as sleep and resting heart rate. Sources you can connect today are Strava and Apple Health (on iPhone). Health Connect on Android is not yet available. We only read data; we never write to your health apps. Health data is a special category of personal data, and we process it only with your explicit consent, which you give when you connect a source.

Messages

Messages you exchange with your coach in the app, including workouts you attach to them.

Device and usage data

A push-notification token for your device (if you allow notifications), and technical diagnostics such as app errors, performance timings, device model and operating-system version, which we use to keep the service working.

3. What your coach can see

Your workouts are private by default. Your coach sees a workout only after you share it with them, and you can choose which workouts to share. Your coach can see your profile information, the plans they write for you, and the workouts you have shared.

When your coach asks ActIt to draft your next week’s plan, our planning system reads your recent training history, including workouts you have not shared, so the plan reflects the training you actually did. Your coach receives the drafted plan, not the private workouts themselves.

4. How we use your data

  • To provide the service: your account, your coach’s plans, workout sync, analysis, charts and messaging.
  • To match your workouts to your plan and show how each session went.
  • To draft training plans and training summaries with AI models (see section 6).
  • To send notifications you have allowed, such as new messages, plan updates or a reminder to share a workout.
  • To keep the service secure, prevent abuse and fix problems.
  • To answer your questions and support requests.

We do not sell your personal data, we do not use it for advertising, and we do not use health data from Apple Health for any purpose other than providing ActIt to you.

Health data, including data from Apple Health, is never used for advertising or marketing and is never sold. We share it only with the service providers needed to deliver the features (section 7), and with AI providers only after you consent (section 6). We do not store your health data in iCloud.

5. Legal bases (EU/UK GDPR)

  • Contract: to provide the service you signed up for.
  • Explicit consent: for health and fitness data. You can withdraw consent at any time by disconnecting a source or deleting your account.
  • Legitimate interests: for security, diagnostics and improving reliability.
  • Legal obligation: where the law requires us to keep or disclose data.

6. AI features

ActIt uses AI models for the Trends summary, for the wording of run notifications and to draft weekly training plans written by your coach. These features run only after you explicitly turn them on in the app, and you can withdraw your consent at any time in Settings → AI features.

To produce a result we send a model your relevant data: workouts, heart rate, sleep and profile training details such as paces and heart-rate zones. Trends summaries are written with Google’s Gemini models via Vertex AI in the EU; run notification copy and coach-drafted plans use Anthropic’s Claude models in the United States. These providers process the data only to return a result to us. They do not use it for advertising or to train their models. A coach reviews and can change every AI-drafted plan.

7. Who we share data with

We use the following service providers, each bound by a data processing agreement:

  • Google Cloud / Firebase: hosting, database and backend processing, in the EU (Belgium / EU multi-region).
  • Clerk: sign-in and account management (United States).
  • Anthropic: AI plan drafting (United States).
  • Google Vertex AI: AI training summaries (EU).
  • New Relic: diagnostics and error monitoring (EU region).
  • Expo, Apple and Google push services: delivering notifications to your device.
  • Strava, when you connect it: we receive your activities under Strava’s own terms and privacy policy.
  • Our payment provider, for coaches with a paid subscription: it processes billing details under its own terms. We never store full card numbers.

Wearable connections run through our own Open Wearables servers, hosted by us on Google Cloud in the EU. We may also disclose data if the law requires it, or to protect the rights and safety of our users.

8. International transfers

We store your data in the EU. Where a provider processes data outside the EU or UK (currently Clerk and Anthropic, in the United States), we rely on the European Commission’s Standard Contractual Clauses and, where applicable, the EU–US Data Privacy Framework.

9. How long we keep data

We keep your data while your account is active. When you delete your account, we delete or anonymize your personal data within 30 days, except where we must keep some of it longer to meet legal obligations (for example, invoices for paid subscriptions). Diagnostic data is kept for up to 90 days.

10. Your rights

You can access, correct, export or delete your data, object to or restrict certain processing, and withdraw consent at any time. To exercise any of these rights, email support@actit.io. You can disconnect Strava or Apple Health at any time in the app’s settings. You also have the right to lodge a complaint with your data protection authority, or with ours, the Hellenic Data Protection Authority (www.dpa.gr).

11. Deleting your account

You can delete your account in the app at Settings → Account → Delete account. If you no longer have the app, you can email support@actit.io from the address on your account. See how to delete your account for the steps and what is deleted.

12. Security

Data is encrypted in transit and at rest. Access is restricted to the people and systems that need it, and we use least-privilege service accounts and monitoring to protect it.

13. Children

ActIt is not intended for children under 16, and we do not knowingly collect their data.

14. Changes to this policy

We will post any changes on this page and update the date above. If a change is significant, we will also tell you in the app or by email.
